Create the installation job

Start as soon as the order is ready to schedule. Add customer and installer details, flooring type, address, expected material arrival, duration and notes. Your store chooses how much buffer to allow after material arrival.

The store sets the starting point.

Ask the installer first

The assigned installer receives a private availability link. They use a full calendar to offer start dates and can adjust the installation duration. Available windows must fit the job and avoid weekend spillover.

Customers only see dates the installer has offered.

Let the customer choose

The customer receives their own booking link once availability is ready. They choose an offered start date and see the full installation window before confirming. No login, app download or calendar account is required.

A two-day installation looks like a two-day installation.

Keep both sides prepared

Once a date is confirmed, selection reminders stop. Confirmation and preparation messages take over, with your store’s preparation instructions and upcoming installation details.

Who is InstallFlow for?

Flooring retailers and showroom teams coordinating installation after a customer has chosen their floor. It gives the store, installer and customer a clear scheduling process, without asking the store to chase every reply.

Do installers or customers need an account?

No. Installers receive a private link to share availability, and customers receive their own link to choose an offered start date. Store employees have individual accounts for the shared workspace.

Can we book before materials arrive?

Yes. Scheduling starts from the expected material arrival date plus the buffer your store chooses. If material receipt is still outstanding close to the installation, the job is flagged for your team to review.

What happens with a two- or three-day installation?

Your store or installer sets the duration. The date picker shows the complete installation window and only offers starts that fit the required consecutive weekdays. A multi-day job cannot spill into the weekend.

When do reminders stop?

Installer availability reminders stop when dates are submitted. Customer selection reminders stop once a date is confirmed. The workflow then moves to confirmation and preparation reminders.

Can our whole team see the schedule?

Yes. Invite employees to the same store and give them staff or view-only access. Your team sees shared jobs and the same installation calendar; the owner manages employees and store settings.

Does InstallFlow replace our sales or estimating system?

InstallFlow focuses on the handoff after the sale: availability, date selection, reminders and installation coordination. Keep your existing sales process and add a job when the order is ready to schedule.

Are messages sent by email or text?

The initial service uses email for scheduling links, confirmations and reminders. Text messaging is not included in the initial offering.

What if materials are delayed or plans change?

Your team reviews the affected job and decides whether to restart scheduling. InstallFlow requests new installer availability before offering replacement dates to the customer, keeping the store in control.
